Terms of service

You must be at least 18 years old, or the age of majority where you live, and able to enter into a binding contract. RSViP Online is meant for professional and business use. If you sign up on behalf of an organisation, you confirm you have the authority to bind it to these terms.

RSViP Online lets you publish booking pages, share your availability, take bookings, synchronise with your calendar, create video meeting links, send reminders and, optionally, use your own domain and accept paid bookings. We keep improving the service, so features can change, be added or be removed. If we make a change that materially reduces what you pay for, we will tell you in advance.

• Give accurate information and keep it up to date.
• Keep your sign-in details safe. You are responsible for what happens under your account, so tell us at once if you think someone else has access.
• You may not share an account between several people or sell access to it.

• New accounts can start a free trial of 7 days with every feature. A payment card is required to start the trial.
• Unless you cancel before the trial ends, your plan starts and your card is charged automatically.
• The plans are EUR 10 per month or EUR 108 per year, with every feature included. Prices exclude VAT and other taxes, which are added where they apply.
• Payments are processed by Stripe. Subscriptions renew automatically at the end of each billing period until you cancel.
• Companies pay per licence: EUR 10 per month or EUR 108 per year for each employee licence, and EUR 5 per month for each additional administrator. The administrator who creates the company is not charged. Company licences have no free trial and become active only once paid.
• A company licence can be given to another person in the company. An annual employee licence can be given to a different person once six months have passed since it was first used, and again six months after each change. Monthly licences can be given to another person at any time.
• You can cancel at any time from the billing page in your dashboard. Cancelling stops future charges.
• If a payment fails, or your subscription is not active, your access to the dashboard is limited to the billing and account pages and your booking pages go offline until the subscription is active again.
• We may change prices. We will give you at least 30 days’ notice by email before a new price applies to you, and you can cancel before it does.
• Fees already paid are not refunded, except where the law requires it.

If you use RSViP Online to take bookings, you are the host. You are responsible for your booking pages, the information you ask guests for, and for having a lawful reason to collect and use that information, including telling guests how you use it. You may not use guests’ details for anything unrelated to the booking unless you have a lawful basis to do so.

We process guests’ information on your behalf to run bookings, as described in our privacy policy.

If you accept payments for bookings, those payments are processed by Stripe under your own agreement with Stripe. The payment is between you and your guest: you are responsible for what you sell, for refunds, and for any taxes you owe. We do not hold your funds. We charge a platform fee of 2% of each successful paid booking. It is deducted automatically from the payment, shown in your payments report, and returned in proportion if you refund the booking. Stripe’s processing fees are separate and are taken by Stripe from your account. Free bookings, and pending or failed payments, carry no fee. Changes to the fee follow the same notice as changes to prices above.

The developer API lets the administrators of an account connect their own software to RSViP Online, for example to read availability and manage bookings. It is meant for advanced users, and you use it at your own responsibility.

• Using the API creates additional costs on top of your subscription. API requests are charged per use, in monthly periods, in price bands that are shown on the API & Integrations page of your dashboard, plus a handling fee of 2% on the usage amount. VAT and other taxes are added where they apply. The first time you open that page you must confirm that you understand this.
• To protect you, a spending limit of EUR 100 per month is set on every account from the start, and we email you when usage reaches 50%, 80% and 100% of the limit. When the limit is reached, requests that would be charged are refused until the next month or until you raise the limit. Raising or removing the limit is your own decision and responsibility; we never do it for you.
• You are responsible for your API keys and for everything done with them, including the costs. Keep keys secret and revoke any key you suspect has been exposed.
• Usage is invoiced once a month, after the month ends, through Stripe, to the payment method on your account. This applies whether you pay your subscription monthly or yearly. Changes to API prices follow the same notice as changes to other prices above.
• Requests that fail, that we refuse (for example because of rate limits or your spending limit) or that fail because of an error on our side are not charged. Webhook notifications we send to you are not charged.
• We may limit how fast requests can be made, and we may suspend or close API access for an account that abuses the service, puts it or other people at risk, or has an unpaid usage invoice. Your existing bookings are not affected.
• If you delete your account, we first invoice any API usage not yet billed, and then delete your API keys, request logs and API settings. The invoices themselves are kept, without your identity, for as long as the law requires.

You can connect services such as Google Calendar, Google Meet, Microsoft Outlook and Teams, and Zoom. You must have the right to connect them, and their own terms apply to your use of them. We use the data from connected services only as described in our privacy policy. You can disconnect a service at any time.

If you use your own domain, you must own it or be authorised to use it, and you are responsible for keeping its DNS records correct. We can remove a domain from the service if you do not control it or if it is used in breach of these terms.

You agree not to use RSViP Online to:

• break the law or the rights of others, or publish unlawful, hateful, deceptive or infringing content;
• send spam, phishing or unsolicited promotional messages, or harass anyone;
• upload malware, probe or test the security of the service without our written permission, or try to get around its limits;
• overload or disrupt the service, or scrape or collect other people’s data from it;
• impersonate a person or organisation, or misrepresent who you are.

We may remove content or suspend an account that breaks these rules.

You keep all rights to the information you put into RSViP Online. You give us permission to host, process and display it only as needed to provide the service to you. You can delete your data or your account at any time, and our privacy policy explains what happens to it.

RSViP Online started from an earlier version of open-source scheduling software licensed under the GNU Affero General Public License v3. Since then we have built, and are still building, a completely new product of our own, and we do not share the source code of our product. Apart from what that licence gives you, the RSViP Online name, logo and site content remain ours.

We work to keep RSViP Online available and secure, but we do not promise it will be uninterrupted or error-free. We may carry out maintenance, and calendar and video services we connect to can fail or change outside our control, which can delay or prevent a sync or a meeting link.

You can stop using the service and delete your account at any time. We may suspend or end your access if you break these terms, do not pay, put the service or other people at risk, or if the law requires it. Where we reasonably can, we will warn you first.

When an account ends, your access stops and your data is handled as described in our privacy policy. Terms that by their nature should continue, such as limits on liability, continue to apply.

To the extent the law allows, RSViP Online is provided "as is" and "as available". We do not guarantee that it will meet every need, and we are not responsible for meetings missed because of a delay, a sync problem or a failure of a service you connected.

To the extent the law allows, we are not liable for indirect or consequential losses, or for lost profits, revenue or data. Our total liability for any claim related to the service is limited to the fees you paid us in the 12 months before the claim arose.

Nothing in these terms limits liability that cannot be limited by law, including for fraud, for death or personal injury caused by negligence, or your rights as a consumer where you have them.

We may update these terms. We will show the date at the top, and tell account holders by email if a change is significant. If you keep using the service after a change takes effect, you accept the new terms.

These terms are governed by the laws of Spain. Disputes go to the competent courts in Spain, unless mandatory consumer law gives you the right to bring a claim in your own country.
